Set up your recruiting team

Add colleagues to a job's recruiting team so they can access candidates and collaborate on hiring.

Hiring rarely happens alone. Recruiting teams let you bring the right colleagues into a specific job, so everyone involved can access candidates and collaborate throughout the process. This article walks you through adding members to a job's recruiting team and choosing the right role for each person.

Note: Admins always have access to every job and candidate, so they don't need to be added to a recruiting team to see a job. They can still add or remove themselves from a job's recruiting team at any time.


Add a recruiting team member

You can add someone who already has a Recruitee account, or invite someone new by email.

Add an existing account member

1. Open the job and go to its Team section.

2. Click Add team member.

3. Select your colleague's name from the dropdown menu.

4. Click Save.

Your colleague now appears in the recruiting team list and will get notified of updates on that job.

Invite a new team member by email

1. Open the job and go to its Team section.

2. Click Add team member.

3. Click Invite new team member.

4. Proceed with the team member invitation process.

Recruitee sends them an email with a unique invite link. Once they accept it, they're added to the job's recruiting team automatically.


Assign the Hiring Manager and Recruiter roles

Everyone you add to a job's team members has the same access to that job's candidates — there's no separate limited-access role anymore. Instead, you can designate one team member as the job's Hiring Manager and one as its Recruiter. These labels don't change what someone can see or do — they identify key contacts for the job and are used to personalize candidate emails.

Note: A job can have one Hiring Manager and one Recruiter at a time. If you assign a new person to either role, they'll replace the previous one.

Tip: Assigning a Hiring Manager and Recruiter makes it easy to personalize candidate emails automatically — for example, using the [hiring_manager.full] or [recruiter_per_job.full] placeholders in your email templates.
