E-signature is a field that can be added to Employee Documents.

Enabling the DocuSign integration

To enable e-signature fields, the DocuSign integration must be activated.

To turn on the DocuSign integration, go to the specified location and click on the designated option in the appropriate section. In the Apps view, click on the specified tile; a modal will appear with a button that allows you to activate the DocuSign integration for the entire company.

Adding an E-signature field to the Employee documents folder

To add an E-signature field to a folder in employee documents, go to Configuration and click Documents under the Employee data section. From the list of folders, select the one to modify and click the (+) Add field button. From the Type dropdown, choose E-signature, name the field in Field name, and confirm to complete by selecting the Add field button. It’s possible to add only one e-signature field per folder.

Choosing document Signers

Before sending the document, you must select the Signers. To do that, go to a folder with an E-signature field. While adding the file, you can choose the Signers from the list of Employees.

Sending the document to Docusign

Once the Signers are selected, you can send the document for signing through DocuSign. Open the document details and click Send to DocuSign. You’ll be redirected to DocuSign, where you can prepare the document for signing using all the features provided by DocuSign. Once the document is sent, you’ll be redirected back to Tellent HR. The Signers will receive emails with the signing request.

After sending the document, data synchronization between DocuSign and TellenHR takes a few seconds.

To see the sent document in Docusign, click the See in DocuSign button.

Statuses

The progress of document signing can be monitored through document status and the status of individual signatures.

Document status

  • Not prepared - Signers have been selected, but the document wasn’t sent for signing.

  • Pending signatures - The document has been sent for signing, but not all the signatures are completed.

  • Declined - The document was declined by at least one of the Signers

  • Signed - All Signers signed the document.

Signer status

  • Awaiting - The Signer has received an email but hasn’t signed the document yet.

  • Declined - The Signer declined the document.

  • Signed - The document is signed by this Signer.

What data do Tellent HR and DocuSign exchange?

  • Tellent HR shares the names and email addresses of all parties involved in the signature request with DocuSign.

  • DocuSign shares the status of each signature request per Signer with Tellent HR.
