A skills framework helps everyone understand what success looks like in each role. It helps hiring teams evaluate candidates consistently and transparently while giving employees clear expectations and growth paths.
You might already have this information in a spreadsheet, skills matrix, job description, or another internal document. Bringing it into your HR system can take time, especially if you’re managing many positions and hundreds of skills.
With AI-powered import, you can upload your existing file and let AI help you create organized positions and skills in Tellent HR.
It can suggest skill descriptions and proficiency levels based on your current skills library, helping keep everything consistent and prevent duplicates.
You’ll review every suggestion before anything is added.
When to use this feature:
You already have a skills document: If you have a company skills matrix or any internal files listing the required skills for a given position.
You’re starting from scratch: If your company doesn’t have defined skills yet, but you want to start creating them with your team.
Before you start
Make sure your skills file includes proficiency levels and positions. Our AI works best when your document clearly lists:
Position names
Skills for each position
Skill descriptions
Proficiency levels
Upload your skills file
If you have an existing skills matrix, such as a Google Doc, Word file, PDF, or spreadsheet, you can upload it directly.
1. Go to Settings > Positions.
2. Click on the position you want to add skills to, or click New position to create a new one, then click the Skills tab.
3. Click Add skill and select Import skills from a file.
4. Drag and drop your file or click Upload file (we support PDF, DOCX, CSV, or XLSX up to 5 MB).
5. Under How’s your file structured?, check the boxes that match your document to help the AI map and organize skills from your file.
6. Click Continue.
Review and apply changes
You’re always in control. Before anything is added to Tellent HR, you can edit or reject every AI suggestion.
Review the suggested skills carefully and decide which ones you’d like to import.
1. Review the summary to see what the AI found. It shows how many new skills will be added, how many positions will be updated, and if there are any formatting issues to fix.
2. Choose whether to add new positions. If your file includes positions that don’t yet exist in Tellent HR, they’ll appear in the New positions from your file section.
Select Add these positions to create the new positions in Tellent HR.
Select Don’t add new positions if you only want to import skills for existing positions.
3. Scroll through the Review skills section to review each skill.
Click the pencil icon to edit skill names, descriptions, and proficiency levels.
If a suggested skill matches something already in your account, the system will highlight it so you can reuse your existing library skill instead of creating a duplicate.
Select Create this skill to add a new skill to your library.
Select Don’t import this skill to skip a suggestion.
4. Click Import and apply changes when everything looks good.

If AI doesn’t import some information correctly, for example, proficiency levels, skill descriptions, or position names, try importing the file again, and use the Any other instructions for the AI? field.
Add any specific instructions or context that can help AI understand your file, such as how proficiency levels are structured or how positions and skills are organized. Then review the new suggestions before importing them.

To help avoid duplicates, the AI checks your skills library when you submit your file. If it finds a skill that matches one you’ve already added, it will highlight it and suggest that you reuse the existing skill instead of creating a new one.
You can click the pencil icon to edit the description, change the proficiency level, or update which positions are linked to it.
