Time off types are the labels you use to define employee absences, such as “Vacation,” “Sick Leave,” or “Remote work.” You can also choose if the absence is shown on the company calendar.
A Time off type becomes active once it’s added to a Time off policy. That’s where you define the Time off rules that control how the absence works, such as limits, accruals, and carryover.
In this guide, we’ll show you how to create, edit, and delete Time off types.
Standard vs. custom Time off types
The system comes with a few standard Time of types:
Vacation
Sick leave
Compensatory
Remote
You can’t delete these, but you can change their visibility. If you need other categories or labels, you can create a custom Time off type.
Create a new Time off type
Create a custom Time off type to track specific absences, such as “Training day” or “Parental leave.”
1. Go to Settings > Configuration > Time off types
2. Click Add time off type.
3. Enter a unique name.
4. (Optional) Choose a display color to make it visually distinct in the company calendar.
5. Set visibility.
Choose whether to show the name of the absence type in the calendar, or
Hide it as ‘Out of office’ for employees (useful for cases like Sick leave).
📌 Note: Even if the type is hidden from employees, it’s always visible to managers and admins.
6. Once all the details are set, click Add.
💡 Tip: Use consistent colors, such as green for vacation and red for sick leave, to keep your calendar easy to read at a glance.
Edit a Time off type
1. From the Time off types list, select the type you want to edit.
Custom types: You can change the name, color, and visibility
Standard types: You can only change the visibility
⚠️ Important: Editing a Time off type updates it everywhere — in all Time off policies and for all employees who use it.
2. When you’re done, click Save.
Delete a Time off type
1. From the Time off types list, select the type you want to delete.
📌 Note: You can only delete custom Time off types.
2. Click on Delete time off type, then confirm the deletion in the pop-up window.
⚠️ Important: Deleting a Time off type will also remove all related Time off rules from any Time off policies that use this type. All planned, ongoing, and pending time off requests linked to this type will be canceled.
