Work schedules are the foundation of attendance tracking. A schedule defines the days and hours your employees are expected to work, and layers on the rules that turn raw time entries into meaningful data - overtime, timesheet validation, time tracking methods, meal vouchers, and required breaks. Set the rules once, assign the schedule to your people, and let the system handle the tracking. This guide walks you through creating a schedule, configuring each setting, and assigning it to employees.
Note: Creating and managing work schedules is available require administrator role.
Create a work schedule
Start by creating the schedule and choosing how its working time is measured. You'll add the detailed rules in the next steps.
Go to Settings > Attendance > Work schedules and click Add work schedule.
Enter a Work schedule name. The name must be unique within your company.
Choose the Work time units:
Hours and minutes - worktime is calculated in hours and minutes. This is the most common option and unlocks work hours modes, overtime, and meal vouchers.
Days and half days - worktime is calculated in days and half days. Use this for roles measured in day units rather than clock hours.
Click Add to create the schedule and continue setting up the rest.
Important: The work time unit sets the calculation method, and the calculation method cannot be changed after you create the schedule. If you need a different unit later, create a new schedule.
Once the schedule exists, its settings are organized into tabs along the left: Manage, Work week, Overtime, Timesheet validation, Time tracking, Required breaks, and Assigned.
Set up the work week
Open the Work week tab to select the working days and hours for everyone assigned to this schedule.
Choose a work hours mode
When your work time unit is Hours and minutes, pick a Work hours mode that matches how your team works:
Schedule - define work hours for each day. These settings are used to calculate overtime and let you use autofilled timesheets. Choose this when employees follow fixed daily hours.
Expected number of hours - set how many hours employees are supposed to work per day. These settings are also used to calculate overtime, without fixing exact start and end times.
Flexible - attendance is based only on employees' own time entries. There are no expected hours, so overtime and autofill don't apply.
Note: If your work time unit is Days and half days, you'll set working days as full days, mornings, or afternoons instead of a work hours mode.
Turn on timesheet autofill
In Schedule mode, you can enable Timesheet autofill. When enabled, timesheets are automatically filled on a daily basis based on the scheduled working hours and days. Employees can still edit timesheet entries afterwards - according to the timesheet editing limit option.
Administrators and manager Autofill also respects time off - a full-day absence isn't prefilled, and a half-day absence fills only the working half.
Note: Autofill is available for Days and half days schedules. For Hours and minutes schedules, it requires Schedule mode. It is unavailable in Expected number of hours and Flexible modes
Note: When employee absence is requested in hours, it prevents autofill for that day.
Configure overtime
On the Overtime tab, set overtime tracking rules to reflect your organization's policy. When overtime is tracked, each assigned employee gets an overtime balance that updates automatically as their hours are recorded.
Turn on Track overtime. When enabled, overtime is calculated based on scheduled weekly hours and the calculation frequency you choose.
Set the calculation Frequency:
Daily - overtime is calculated after each day ends.
Monthly - overtime is calculated after each month ends.
Any adjustment to working hours - adding or removing time - updates the employee's overtime balance, whether the change relates to past or future working hours.
Note: Overtime isn't available for the Flexible work hours mode or for schedules measured in Days and half days, because neither defines the expected hours overtime is measured against.
Require timesheet validation
On the Timesheet validation tab, turn on Timesheet validation to require employees' timesheets to be validated. When enabled, timesheets on this schedule go through a validation step before they're final.
Set time tracking rules
The Time tracking tab defines how employees are allowed to record their time, how far back they can edit, and - where available - meal vouchers.
Choose a time tracking method
Pick the method that matches your attendance policy:
All methods - employees can track their time however they choose: manually, through the in-app tracker, or at a clock-in station.
In-app time tracker and clock-in station - employees can track time using the app or a clock-in station. Manual entry is not allowed.
Only clock-in station - employees must use the clock-in station. No other methods are available.
Note: If you choose a time tracking method other than All methods, employees can still edit the project, note and breaks fields on their timesheets, but not the time itself.
Limit timesheet editing
Turn on Limit timesheet editing to restrict employees to editing their timesheet entries only within a set number of past days. Enter the number of days in the field that appears. By Beyond that window, entries are locked.
Note: Limit timesheet editing is enabled by default for 30 days.
Enable meal vouchers
If meal vouchers are part of your plan, turn on Meal vouchers and set the minimum number of tracked hours required to earn one. Employees receive one voucher per day once they reach that minimum, and vouchers are calculated automatically and shown on company attendance statements.
Set required breaks
The Required breaks tab helps you enforce your break policy. It offers two independent tools you can enable separately.
Break rules alerts
Turn on Break rules alerts to display errors on timesheets that violate your rules. Add a rule to define the requirement - for example, for every 6 hours of work, require a break of 30 minutes. If an employee's timesheet doesn't comply, a warning appears directly on the entry.
Note: Adding shorter breaks do not add up to one qualifying break.
Automatic breaks
Turn on Automatic breaks to add breaks on an employee's behalf after a certain amount of time is tracked. Add a rule to define it - for example, after 6 hours of total work time, 30 minutes of break will be automatically added.
Assign employees to a schedule
A schedule only starts tracking time once employees are assigned to it. Open the Assigned tab to see who's on the schedule and to add more people. Each employee can be on one work schedule at a time, but a single schedule can be assigned to any number of employees. Once assigned, employees automatically follow the working times and rules you defined.
You can also manage an employee's schedule over time from their profile - planning a change ahead of time, setting a schedule for a new hire before they start, or moving someone from full-time to part-time on a specific date.
Note: Work schedule assignment feature (planning work schedule) is being rolled out to customers gradually, so it may not be enabled for your company just yet - we're migrating companies onto it continuously.
Note: To assign a schedule for a specific date range, plan changes ahead, and keep time off accurate as someone's pattern changes, see Assign and manage an employee's work schedule over time
Delete a work schedule
To remove a schedule, open its Manage tab and click Delete schedule, then confirm in the Deleting work schedule dialog.
Important: You can’t undo deleting a work schedule. Before you delete it, move anyone who still needs a schedule to a different one.
If your company doesn’t use dated assignments: deleting the schedule unassigns everyone on it, and their time off balances are recalculated.
If your company uses dated work schedule assignments: first remove or move all current and planned assignments for this schedule. You can delete it once it has no assignments left.
Note: You can’t remove a work schedule from dates where an employee has hourly time off. If you try, you’ll see: “This change would leave hourly time-off requests without an assigned work schedule. Update or cancel the affected requests first.” Update or cancel those requests, then try again. Time off booked in days doesn’t block the change.
