Timesheet validation

Learn how to validate employee timesheets, review entries, approve time off, and manage changes after approval.

As a supervisor, you can use timesheet validations to make sure everything is on track with how your team logs their hours, ensuring compliance with both company policy and labor law. You have the right to review timesheets to see if employees are recording too much overtime or forgetting to log work time. Timesheet validation is optional, but it’s a smart way to keep a clear picture of when and how much your team is working.

How to enable timesheet validation

Timesheet validation must be enabled for each individual work schedule.

  1. Go to Configuration > Attendance > Work Schedule.

  2. Select a work schedule.

  3. Click Timesheet validation in the menu and turn on the toggle.

  4. Click Save changes.

Once validation is enabled, every employee assigned to that schedule requires approval of their work hours by a supervisor. By default, the supervisor is the employee’s manager, unless changed in Approval flows.

How to validate timesheets

To see which timesheet entries require approval, open the Timesheet validation view:

  • Click on a user in the table to view their pending timesheets.

  • A number next to the employee’s name indicates how many timesheets need to be checked for the selected period.

  • A green checkmark means no timesheets require approval for the selected period.

  • The number of days shown corresponds to the selected period:

    • Week view → pending timesheets for 5 working days.

    • Month view → pending timesheets for all working days in that month.

Reviewing and editing entries

When you open an employee’s timesheet, you will see:

  • Scheduled hours (from the work schedule)

  • Tracked hours (hours the employee logged)

Click on a timesheet entry to view the details for that day. From here, you can:

  • Edit the entry by updating work time or breaks.

  • Review absences and logged projects.

Approving timesheets

There are two ways of approving timesheets:

  • Approve timesheets one by one, or

  • Use the Approve all timesheets button to validate all pending entries for that employee in the selected period.

💡 Tip: If an employee edits or deletes a previously approved entry, the timesheet must be validated again.

Navigation

You can easily switch between periods to review and approve timesheets.

  • Click timeframe dates - open the date picker and select a custom timeframe.

  • Day / Week / Month - change the view of periods.

  • Arrows - move between periods (days, weeks, or months). This option is not available for custom timeframes.

  • Calendar icon (top right) → jump to the period that includes today’s date (e.g. in monthly view → current month). Not available for custom timeframes.

Filters

You can narrow down the Timesheet validation view using the Filters button in the top right corner.
Available filters include:

  • Validation status

  • Department or group

  • Location

  • Position

  • Time off policy

  • Work schedule
