Your My time off section is where you manage everything about your own time off. You can see how much of each time off type you have left, request days (or hours) off, follow the status of every request, and check who approves them - all in one place. This guide walks you through each part, step by step.
Note: A few of the options described here depend on how your admin has set up your time off policies - for example, requesting time off in hours. Where that's the case, it's called out in the relevant section.
Open your time off section
To get started, click My time off in the left sidebar menu.
This opens your My time off page, which brings together everything related to your own time off:
Every time off type available to you, each with its current allowance (for example, 17.5 days available, or Unlimited).
A Request time off button to create a new request.
A Requests table that tracks your requests.
An Approvers section showing who reviews your requests.
To dig into specific time off type, click on it. Each time off type contains approvers, balances and time off rule details.
Request time off
You can start a request from several places in the app - wherever you begin, they all open the same New time off request panel:
From Home, in the Request time off section.
From your My time off page, or from a specific time off type.
From the Add (+) menu in the top bar, choose Time off request.
To create your request:
Click Request time off (or Time off request from the + menu).
In the New time off request panel, choose your Time off type.
Under Days off, pick your dates using From and To.
Set the duration for those dates (see the two options below).
Optionally, add a Note and an Attachment.
Click Submit request.
Once you submit, you'll see a confirmation that your request was sent, and it appears in your Requests table with its current status.
Here's what happens next:
Your approvers are notified that you've made a request, and your request shows as Pending.
An approver reviews it and either approves or declines it. You're notified of the decision, and the status in your Requests table updates to match.
If your time off rule approves requests automatically, your request is Approved the moment you submit it - no review needed.
You can always see who reviews your requests in the Approvers section, further down your My time off page. Notifications are sent by email and in the app, based on each person's notification settings.
Note: You can select a continuous date range without worrying about what falls inside it. Weekends, public holidays, and days you're not scheduled to work don't cost you any allowance. A single request can also span more than one allowance period - for example, a holiday that runs from late December into January - so you no longer need to split it into two requests.
Request a few hours
Some time off rules let you request time off in hours instead of whole or half days - handy for an appointment or an early finish.
When your time off rule supports it, you'll see a duration choice between Full day and Few hours. Choose Few hours, then set the Start and End time you'll be away. Only those hours come off your balance.
Important: Time off in hours is being rolled out to customers gradually, so it may not be enabled for your company just yet - we're migrating companies onto it continuously. Once it's available, requesting time off in hours also depends on your admin setting up an hours-based time off rule for you. A few-hours request has to be for a single day. If you don't see the option, your time off rule is set up in days - which works exactly as described above.
Note: Time off in hours needs a compatible work schedule for every day of the request. If your assigned schedule isn't set up for hours, the request form tells you exactly why (for example, it's a day-based or flexible schedule) so you know what to ask your admin to adjust. Requesting time off in days keeps working with any schedule. Only the hours that fall within your scheduled working hours are deducted from your balance - time outside your schedule, or during a break, doesn't count against it.
Check your allowances and balances
Your My time off page shows the current allowance next to each time off type, so you always know what's left at a glance - for example, 30 days available, 1 day available, or Unlimited. If your company uses compensatory time off, a compensatory (overtime) type shows your Overtime balance instead of a fixed allowance. This is optional, so not every company will have it.
For more, click a time off type to open its details. There you'll see a Balances table with your balance for that type - for most people, a quick glance here is all you need.
If you want the full breakdown, click a balance to open its Balance details, which show:
Allowance - the total amount the time off rule grants you.
Used - how much you've already taken.
Planned - time off you've booked that hasn't happened yet.
Balance - what remains.
Usage period and Accrual period - the dates your allowance applies to.
Track your requests and approvers
The Requests table on your My time off page shows the details of every request you've made, across four columns:
Time off type
Duration
Dates
Status
A request's status is one of Pending, Approved, Declined, or Cancelled. If your time off rule is set to approve requests automatically, a new request shows as Approved straight away; otherwise it stays Pending until an approver reviews it.
To see how a request reached its current status, click it to open its details. The detail view lists the full history of the request - who submitted, approved, declined, or cancelled it, the date and time of each change, and any note the reviewer left explaining their decision.
The Approvers section shows who's responsible for reviewing your time off requests. If your company uses a multi-step approval process, you may also see a Final Approvers section for the people who give the last sign-off.
Cancel a request
To cancel a request, open it from your Requests table and click Cancel request. You'll be asked to confirm. Employee can cancel only planned time off requests.
Important: Cancelling a request can't be undone. If you still need the time off after cancelling, you'll need to submit a new request.
Note: There's no way to edit a request after it's submitted - to change it, cancel it and create a new one. You can cancel a request that's pending, approved, or declined, but you can't cancel one of your own requests that's already in the past and has been reviewed. If you need to change that, ask your manager or an admin.

Some time off types have a weekly limit set by your admin — a cap on how much of that type you can take within a single week, which resets every Monday. If a request would take you over it, you'll see a warning while you fill in the request so you can adjust the dates.
