Requests

The Requests view provides a central location for managers, approvers, and administrators to review, track, and manage all time off requests within Tellent HR.

Accessing the requests view

The Requests view is available to specific users based on their role and assignments.

  • The view is accessible if you are:

    • A user with at least one direct report assigned.

    • An Approver within an approval flow.

    • An Administrator.

To display the general Requests table:

  1. Go to Time off in the main menu.

  2. Click on Requests.


Understanding the requests table

The content displayed in the table is based on your user permissions:

  • Managers see requests from everyone in their reporting line (their direct reports and all reports down the line).

  • Approvers see requests from employees who are assigned to the approval flows where they are designated as an approver. By default, the direct manager of a particular employee is the Approver.

  • Administrators see everyone's requests.

Important notes on this view

  • For administrators and managers, this view allows you to see the requests of employees that may not pop up in your dashboard because you are not designated as their direct approver.

  • Clicking on any row in the table will open a Time off request details modal where further actions (like approving or declining) can be performed, based on your permissions.

  • This table is also available within the Employee profile (under Time off section), where the results are narrowed down to requests for that single employee, but the rest of the capabilities (structure, filtering, exporting) remain the same.

Table structure

The table includes the following columns for tracking each request:

  1. Employee: The team member for whom the request was created.

  2. Time off type: The category of time off (e.g., Vacation, Sick Leave).

  3. Duration: The number of days deducted for this request. Note: This usually refers to working days, based on your time off policy settings.

  4. Start and End Date: The beginning and end dates of the time off.

  5. Status: The current stage of the request, which can be one of the following:

    • Pending: The request is awaiting approval.

    • Approved: An auto-approval was applied, or all approvers have confirmed the request.

    • Declined: An approver has rejected the request.

    • Cancelled: The request was cancelled by the user themselves, an approver, or an administrator.


Filtering and exporting requests

Use the available filtering and export tools to process the data efficiently.

Filtering the table content

Narrow down the requests listed in the table using the filter options:

  1. Click the Filters button.

  2. In the side modal that is displayed, click add filter.

  3. Select the filter you want to apply. The available options include:

    • Department or group

    • Employee

    • Has attachment

    • Location

    • Number of days

    • Overlaps with period

    • Request end date / Request start date

    • Status

    • Time off type

  4. After configuring your filter criteria, click Apply filters to update the table.

Exporting requests to CSV

You can export the current content of the table, along with any applied filters, for further processing outside of Tellent HR. Click the Export button, which is located next to the Filters button.

The exported CSV file will contain the same data as the table in the application, plus two extra columns for unique employee identification:

  • Employee ID: A unique number generated by Tellent HR.

  • Employee number: An internal ID that can be provided in the employee profile.
