The Balances page brings together the time off balances for everyone you manage, so you can check allowances, used days, and what's left across your team without opening each profile. This guide walks you through reading the table, filtering it, opening a single balance for the full picture, adjusting a balance, and exporting the results.
Note: Balances are available to administrators and managers. Administrators see everyone in the company. Managers and approvers see only the people they manage or approve for.
Open the Balances page
To see balances across your team, go to Time off > Balances in the left sidebar menu.
The page opens on a table with one row per employee, per time off type, per period. By default it shows only balances for the current usage period and hides archived balances, so you start with what's relevant today.
Read the balances table
Each row is a single balance — one time off type for one employee in one period. The columns give you the full story at a glance:
Employee — the person the balance belongs to.
Time off policy — the policy the employee is assigned to.
Time off type — the kind of leave, such as Vacation, Sick leave, or Remote.
Accrual period — the period the allowance is earned in.
Usage period — the period the allowance can be used in. If the policy extends unused days past the period, you'll see a second line prefixed with Ext. showing the extended window (or Indefinite if the days never expire).
Allowance — the total amount granted for this type in this period.
Used — how much has been taken.
Planned — time off booked for future dates that hasn't happened yet.
Balance — number of days that can be used.
Note: Planned days are also counted inside Used, so the two figures overlap by design — Planned simply tells you how much of what's used is still in the future.
You can sort the table by Employee, Time off policy, Time off type, Accrual period, or Usage period by clicking the column header.
Filter the balances
Use filters to narrow the table to the balances you care about — for example, one team, one time off type, or one usage period.
Click the filters icon in the top-right corner of the table.
Click Add filters.
Choose a filter, set its value, and repeat to combine as many as you need - you will see only balances that are meeting all the criteria.
Click Apply filters
The available filters are:
Archived — set to Yes to show archived balances, or No to hide them (the default).
Current usage period — show only balances whose usage period is active right now. This is on by default.
Employee
Department or group
Time off policy (accessible only for administrators)
Time off type
Accrual period start date and Accrual period end date
Usage period start date and Usage period end date
Include inactive employees (accessible only for administrators)
Tip: Combine filters to answer a specific question fast. For example, add Time off type set to Vacation and Department or group set to your team to see only your team's remaining vacation.
Note: A balance is Archived when it's no longer active — for instance, after an employee is moved to another policy, or after a policy or rule is changed. Archived balances stay visible for the record but aren't part of the current setup and cannot be adjusted.
Open a balance for the full picture
Click any row to open Balance details on the right. The details view breaks down everything behind the numbers in the table:
Employee, Policy, and Time off type — who and what the balance is for.
Accrual period and Usage period — the dates the allowance is earned and used in.
Extended usage period — if the policy lets unused days roll past the period, the window they stay usable in.
Allowance — the total granted. If the allowance is earned monthly, you'll also see Next monthly accrual with the amount and date of the next top-up.
Used and Planned — how much is taken, and how much of that is still upcoming.
Balance — what remains.
When the policy uses an extended usage period, the details also show Used in extended period, Limit to use in extended period (if the policy caps it), and Available in extended period.
The detail view has a Requests tab listing every request tied to this balance. If there aren't any, you'll see There are no requests related to this time off balance.
Tip: When an employee books time off, the system always spends their oldest available days first. That means days in an extended usage period get used before they expire, so nothing goes to waste.
Adjust a balance
Sometimes a balance needs a manual correction — to account for days carried over from another system, a one-off grant, or an irregularity. You can adjust the granted allowance and the used amount. What remains (Balance) recalculates automatically.
Note: Adjusting balances can be done only by admins. You can only adjust the current period or the one immediately before it. Compensatory (overtime) balances can't be adjusted here, since they draw on the employee's overtime rather than a granted allowance. Learn more about adjusting the overtime balance here.
Adjust one balance
On the Balances page, click the balance you want to change.
In Balance details, open the Adjustment tab.
Set the Adjusted allowance and, if needed, the Adjusted usage.
Check the preview — it shows what the balance will be after your change.
Click Adjust balance.
Adjust several balances at once
On the Balances page, click Bulk adjust.
The Allowance and Used columns become editable. Change the values for as many rows as you need.
Click Save changes to apply, or Cancel to discard.
Note: Only balances that can be adjusted become editable. If none of the balances in view can be changed, you'll see None of the listed balances can be adjusted — usually because they're outside the current or previous period, or belong to a compensatory type.
Export balances
You can export the balances currently in view — including any filters you've applied — as a CSV file.
Click the Export icon in the top-right corner of the table. The file is prepared and downloads automatically.
The export includes each balance's employee, policy, time off type, whether it's archived, the accrual and usage periods, and the accrued, allowance, used, planned, and balance figures. For policies with an extended usage period, it also includes the extension's expiration date, limit, available, and consumed amounts.
Note: Exported file contains data matching the currently filtered view. Managers and approvers can export data only for specific employees within their scope.
See balances for a single policy
To review balances for just one policy — for example, right after you've set its rules — open the policy and go to its Balances tab.
Go to Settings > Time off > Time off policies, open a policy, and click Balances. You'll see the same table, filters, adjust, and export tools as the main Balances page, already scoped to that policy's employees.
Frequently asked questions
Why does an employee's Used figure include days they haven't taken yet?
Why does an employee's Used figure include days they haven't taken yet?
Pending and approved time off requests count as Used, so the balance reflects commitments as well as past days. The Planned column shows how much of that used total is still upcoming.
Why can't I adjust a particular balance?
Why can't I adjust a particular balance?
Adjustments only apply to the current accrual period or the one immediately before it. Balances outside that range, archived balances, and compensatory (overtime) balances can't be adjusted. You also need the adjust permission, which admins and account owners have by default.
What happened to Carryover?
What happened to Carryover?
Policies that let unused days roll into a new period now use Extended usage period instead of Carryover. It's a naming and behaviour update handled at the policy level — see the Time off policies article for how it's set up.
Why don't I see everyone in the company?
Why don't I see everyone in the company?
Administrators and account owners see all employees. Managers and approvers see only the people they manage or approve for, so your view is limited to your reports.
What does "Unlimited" mean in the Allowance column?
What does "Unlimited" mean in the Allowance column?
That time off rule has no fixed allowance to draw down, so there's no balance to track.
