How to create reusable steps in journeys

Learn how to create reusable steps to streamline tasks, save time, and ensure consistency across journeys and templates.

Reusable steps are modular task sections that can be easily added to journeys or journey templates, allowing you to build processes faster and with greater accuracy.

When you update a reusable step, any changes are automatically reflected in all associated journey templates—keeping your workflows aligned and up to date. However, active journeys that already use the step won’t be affected, so ongoing employee experiences remain uninterrupted.

For example, an employee’s first day at work often looks quite similar across different roles within your company.

By creating reusable steps for that first day, you can easily add them to multiple onboarding templates. Any time you update a reusable step, those changes will automatically appear in every template that includes it—saving you from having to update each one manually.


How to create a reusable step

  1. In the sidebar menu, go to Journeys → Library → Reusable steps tab and click + New step.

  2. Select a journey type, then click Next.

  3. Enter a clear, descriptive name for your step. You can also add a short description if you’d like, then click Next to continue.

  4. (Optional) Set the start and due dates for your reusable step. These can be tied to key events such as the employee’s start date, the end of their probation period, or their last working day. When ready, click Create step.

  5. Click + Add task and complete the task details. You can add as many tasks as needed for this step.

  6. Once you’re done, click Save changes to finalise.

Your reusable step is now ready to use in any new journey or journey template, helping you build workflows quickly and consistently.

Managing and editing reusable steps

Once a reusable step has been created, you can manage and adjust it as needed. Here’s what you can do:

  • Edit

    Update or refine the tasks included in the reusable step to keep your workflows accurate and up to date.

  • Manage

    Change the reusable step’s name, description, or start and due dates. You can also permanently delete the reusable step from this section if it’s no longer needed.

  • Delete

    Permanently deleting a reusable step cannot be undone, so proceed with caution.

⚠️ Important: Deleting a reusable step will not remove instances already used in journey templates — those will remain intact.


Access levels

Specify which employees or teams can view and/or edit Journey items:

  1. Click on Journeys and select the module you want to update.

  2. Click Edit access levels to adjust permissions.

  3. When finished, click Save changes.
