Access journeys via personal email

Safely collect data and documents from new employees before their official start date, without giving them full access.

Before a new hire’s first day, there’s often important information to collect.

You can provide future employees with access to their pre-onboarding journey using a personal email, allowing them to update their profile or upload documentation without needing full access to the Tellent HR app.

It’s a safe way to give new hires a head start while keeping your broader company data and organization chart private.

Good to know for admins

When setting up a new journey, you can enable Access by personal email.

  • No app invitation needed: New hires can update their details and upload documents securely before they’re officially added to the app.

  • Invites are sent automatically: Once the journey is published, the employee will receive an email invitation at their personal address.

    • If at least one step has no start date, the invitation is sent right away.

    • If all steps have start dates, the invite is sent on the earliest start date.

  • Secure sign-in: Users log in with a one-time code sent directly to their personal email.

  • Automatic sign-out: For extra security, users are logged out after 7 minutes of inactivity.

  • One-hour sessions: Each login code expires after one hour. If the employee is still working when it expires, they’ll be logged out and must generate a new code to continue.

  • Custom branding: Customize the welcome screen with your company’s brand color by going to Settings > General > Company brand color.


What will the employee see?

New hires can easily log in and start their tasks right away.

1. Email invitation

The employee gets an email invitation in their personal inbox with a link to start the journey.

2. Welcome screen

Clicking the invitation link takes the employee to a branded welcome page.

3. Authentication code

They sign in by clicking Get code to receive a unique one-time code in their personal email.

4. Limited access

After signing in, they can see all tasks in the journey, but can only complete the tasks assigned to them.

5. Progress tracking

Employees can track their progress in percentage and see exactly how many tasks are left.
