Add skills with AI from a file or a generated sheet

Upload a skills file or generate a starting sheet, then review every AI suggestion before it’s added to Tellent HR.

If your skills and positions already live in a spreadsheet, skills matrix, or job description, you don’t have to recreate them one by one. Upload the file and let AI suggest positions, skills, and proficiency levels — or, if you don’t have a file yet, generate a starting skills sheet based on your positions. You review every suggestion before anything is added to Tellent HR.

Note: Only admins can use these features. The options in the Skills library are rolling out progressively. If you don’t see Import skills from a file or Generate suggested skills in a sheet under + New skill in Tellent HR Grow, your workspace hasn’t been enabled yet — contact support.

Choose how to start based on what you have:

  • You already have a skills document — a skills matrix, a job description, or any file that lists the skills for each position. Upload it and let AI read it.

  • You’re starting from scratch — your company doesn’t have defined skills yet. Generate a suggested skills sheet, refine it with your team, then import it.

You can start the file import from two places, and both open the same Import skills from a file dialog:

  • Tellent HR Grow > Skills library — to add skills to your whole library at once.

  • Settings > Positions > Skills tab in Tellent HR Manage — to add skills to one position.



Prepare your file before you start

Make sure your skills file includes proficiency levels and positions. Our AI works best when your document clearly lists:

  • Position names

  • Skills for each position

  • Skill descriptions

  • Proficiency levels

You don’t need to fill out a template — AI reads any supported file that lists your company’s skills and positions.

Tip: Working in Google Docs or Sheets? Download the file as .docx or .xlsx before uploading.


Upload your skills file

If you have an existing skills matrix, such as a Word file, PDF, or spreadsheet, you can upload it directly.

Open the import dialog from the Skills library or from a position

To add skills to your whole library:

Go to Tellent HR Grow > Skills library.

Click + New skill and select Import skills from a file. If your library is empty, click Import at the top of the page instead.

To add skills to one position:

Go to Settings > Positions in Tellent HR Manage.

Click the position you want to add skills to, or click New position to create a new one. Then open the Skills tab.

Click + Add skill and select Import skills from a file.

Upload your file and tell AI how it’s structured

Drag and drop your file, or click Upload file. We support PDF, DOCX, CSV, and XLSX files up to 5 MB.

Under How’s your file structured?, check the boxes that match your document. This helps AI map and organize the skills from your file.

If your file needs additional context, add it under Any other instructions for the AI? (up to 1,000 characters). For example, if your spreadsheet rates skills from 1 to 3 in a column, you can write “Levels 1-3 in column C mean Beginner, Intermediate, and Expert.”

Click Continue. AI analyzes your file — this can take a few minutes.

Tip: Don’t have a file yet? Click generate suggested skills in a spreadsheet in the banner at the top of the dialog to create a starting sheet first.


Review and apply changes

The dialog moves to the Review analysis step. Before anything is added to Tellent HR, you can edit or reject every AI suggestion. To change your file or instructions, click Back.

The AI Summary shows how many skills will be created or updated, how many new positions will be added, and how many existing positions will be assigned. Below it, Skills analysis explains how AI mapped the information from your file — for example, keeping a position separate from a similar existing one, or skipping broad titles like “Team Lead” because they aren’t concrete positions.

Choose whether to add new positions. If your file includes positions that don’t exist in Tellent HR yet, they appear under New positions from your file. Select Add these positions to create them, or Don’t add new positions to import skills for existing positions only.

Scroll through Review skills and check each skill. AI can make mistakes, so review every suggestion before importing.

  • Click the pencil icon next to the skill name to edit its area of expertise, name, and description. Click the pencil icon next to a proficiency level to change the positions assigned to it.

  • If a suggested skill matches a skill already in your library, it’s highlighted so you can reuse the existing skill instead of creating a duplicate.

  • Select Create this skill to add it to your library, or Don’t import this skill to skip it.

Click Import and apply changes.

On the Skills imported! screen, click Finish and close. You can also click Give feedback to tell us how the import went.


Generate a skills sheet when you don’t have a file yet

If your positions are already in Tellent HR but you don’t have a skills framework yet, let AI generate a starting spreadsheet with suggested skills for those positions. You review and refine it with your team, then import it with the steps above.

Note: AI bases its suggestions on the positions in your account, so create your positions first. See Managing positions for Grow.

Go to Tellent HR Grow > Development > Skills library.

Click + New skill and select Generate suggested skills in a sheet. If your library is empty, click Generate at the top of the page instead.

An introduction screen explains the three steps: select positions, generate a spreadsheet, and review it with your team. Click Continue. If you don’t want to see this screen next time, select Don’t show this again first.

Under What positions should AI generate skills for?, keep All positions or select specific positions.

Under How many proficiency levels should each skill have?, choose the number of levels per skill — for example, 4 proficiency levels.

Optionally, under Any other instructions for the AI?, add details such as your industry to give AI more context (up to 1,000 characters).

Click Generate file.

AI generates a spreadsheet with skills, proficiency levels, and the positions assigned to each level. Review it with your team and adjust anything that doesn’t fit. Once the sheet is ready, import it with Import skills from a file.


See how teams use AI to add skills

Here are two common ways teams use these features.

Import a company skills matrix at once

Your HR team keeps a spreadsheet with positions in rows, skills in columns, and a level from 1 to 4 in each cell. Instead of creating each skill by hand, go to Tellent HR Grow > Skills library and import the file. Select Skills have proficiency levels and Positions are assigned to matching skills, and explain the numbers under Any other instructions for the AI? — for example, "1 means Beginner and 4 means Expert." In the review step, check that AI mapped the levels the way you expect, then import everything at once.

Add skills to a new position from its job description

You’ve just created the position Solutions Engineer and have its job description as a PDF. Open the position in Settings > Positions, go to the Skills tab, and import the PDF. AI suggests the skills and proficiency levels it finds in the description and highlights any skill that already exists in your library, so you can reuse it instead of creating a duplicate.



Frequently asked questions

What should I do if AI didn’t import my file as expected?


Run the import again and describe how your file is organized under Any other instructions for the AI?, for example how your proficiency levels are structured. Then review the new suggestions before importing.

What happens if a skill in my file already exists in my skills library?

To help avoid duplicates, the AI checks your skills library when you submit your file. If it finds a match, it suggests reusing the existing skill instead of creating a new one — click the pencil icon to edit its description, proficiency levels, or linked positions.

Can I stop an import while it’s running?

Yes, close the dialog while AI is analyzing your file. Nothing is added to your library.

What happens if the analysis takes longer than five minutes?

The analysis times out after five minutes. Try again with a smaller or more focused file.

Can I import skills for one position only?

Yes. Open the position in Settings > Positions in Tellent HR Manage, go to the Skills tab, and select Add skill > Import skills from a file.

Is the Skills library import available for everyone?

Rollout is progressive. If you don’t see Import skills from a file or Generate suggested skills in a sheet under + New skill, contact support.

Why aren’t some positions from my file included?

AI may leave out broad titles that aren’t concrete positions, such as "Team Lead," or a general title like "Software Engineer" when your library already has more specific roles. When it does, you’ll find the reason under Skills analysis in the review step.
