Review and manage your team's time off requests

See every time off request across your team in one place - then approve, decline, cancel, add, or export requests from the Requests view.

Keeping track of who's off, and when, gets hard when requests are scattered across dashboards and emails. The Requests view brings every time off request for your people into a single, sortable table, so you can scan the details, filter down to what matters, and act on a request in a couple of clicks. This guide walks you through each part, step by step.

📌 Note: What you see and can do here depends on your role. You'll have access to the Requests view if you're a manager with at least one direct report, an approver in an approval flow, or an administrator. The requests that appear, and the actions available on each one, are scoped to the people you're responsible for.

Open the Requests view

You can reach the Requests view in two places, depending on whether you want the whole team or one person.

To see every request you're responsible for:

Go to Time off in the main menu.

Click Requests.

To see one employee's requests, open their profile, click Time off, and open the Requests section. This shows only that person's requests, and you can still filter and export from there.

Read the requests table

Each row is one request. The team-wide table shows these columns:

Employee - the team member who made the request.

Time off type - the reason for the time off, such as Vacation or Sick leave. The icon represents the time off type the request applies to.

Duration - how much time is being taken. This is shown in days or hours depending on the request.

Dates - the start and end dates of the request.

Status - where the request stands right now, shown as a colored pill.

A request's status is always one of:

Pending - waiting for a decision.

Approved - automatically approved, or signed off by all required approvers.

Declined - turned down by an approver.

Cancelled - withdrawn by the employee, an approver, or an administrator.

Tip: Click any column header to sort the table by it - handy for grouping all Pending requests together, or ordering by start date to see what's coming up next.

Open a request to see the details

Click any row to open the request's detail panel. Alongside the employee, time off type, and dates, you'll see:

Request duration e.g. 2.5 days

A history of everything that's happened to the request, from submission through each approval step.

Any attachment and note the employee added, such as a medical certificate.

From this panel you can approve, decline, or cancel the request - depending on your permissions and the request's current status. You can also leave a note (look for Leave a note...) to explain your decision before you act.

Approve or decline a request

  1. Click the request in the table to open its detail panel.

  2. Optionally, add a note explaining your decision.

  3. Click Approve or Decline.

The status pill updates straight away, and the employee is notified of the outcome.

Note: If your company uses a multi-step approval flow, a request only moves to Approved once the final approver has signed off. Earlier approvals are recorded in the request's history along the way, so everyone can see where it stands. Who approves at each step is set by your approval flow.

Note: If the dates overlap timesheet entries that have already been filled in, you'll be asked to confirm before the approval goes through - so nothing is overwritten by accident.

Cancel a request

You can cancel a request on someone's behalf right from its detail panel.

Click the request in the table to open its detail panel.

Click Cancel request.

In the confirmation window, check the details and confirm.

You can cancel a request that's Pending, Approved, or Declined. Administrators can cancel any request; managers and approvers can cancel requests for the people they're responsible for.

Important: Cancelling a request can't be undone. If the time off is still needed afterwards, a brand-new request has to be submitted.

Note: There's no way to edit a request once it's been submitted - to change one, cancel it and create a new one. An employee can't cancel their own request if the requested dates have already passed and it has been approved or declined. In that case, a manager or administrator needs to handle it.

Filter the requests

Narrow the table down to the requests you care about.

Click Filters.

Choose the filters you want to apply.

Click Apply filters to update the table.

Tip: Use Overlaps with period to catch clashes before they happen - for example, to check who's already off during a week you're planning a team deadline.

Export requests to CSV

You can export the table - including any filters you've applied - to work with the data outside Tellent HR.

Click the export icon next to Filters. The file downloads based on the applied filters.

The CSV mirrors the on-screen columns and adds two columns that identify each employee unambiguously:

Employee ID - a unique number Tellent HR assigns to every employee.

Employee number - the internal ID found in the employee's profile.

Note: For time off rules set up in hours, the export also includes the requested hours and the start and end times, so hours-based time off exports with the same level of detail as the table.

Add a request for someone

If someone can't submit their own request - or you're setting up time off on their behalf - you can create it for them.

Who can add a request for someone else:

Administrators and account owners can add time off requests for any employee.

Managers can add time off requests for the people who report to them.

On the Time off > Requests page, click Add request.

In the New time off request panel, choose the Employee. Only the people you manage appear in this list.

Choose the Time off type.

Pick the dates, and set how much of each day is taken (see the options below).

Optionally, add a Note and an Attachment.

Click Submit request.

Once submitted, the request appears in the table with its status. If the time off rule approves requests automatically, it shows as Approved right away; otherwise it starts as Pending for an approver to review.

Set full days, half days, or hours

When you pick the dates, you choose how much of each day the person is taking off:

For a single day, choose Full day, Morning, or Afternoon.

For a range of days, open Half-day settings to take a partial first or last day - for example, Afternoon on the first day or Morning on the last day.

If the time off rule is set up in hours, choose Few hours and enter the exact hours the person will be away. Only those hours come off their balance.

Note: Requesting time off in hours is only available to companies that have moved to the upgraded time off system, and only when an administrator has set up an hours-based rule with a compatible work schedule. We’re moving companies over automatically, one by one, with no downtime and nothing for you to do - balances, past requests, and approvals all carry over as they are. If you don’t see the Few hours option, your company hasn’t moved yet or the rule is set up in days - which works exactly as described above.

FAQs

Why don't I see a request I'm expecting?

The table only shows requests for the people you're responsible for. Managers see their direct reports and their teams, approvers see the employees in their approval flows, and administrators see everyone. If a request is missing, it likely belongs to someone outside your scope.

Can I edit a request instead of cancelling it?

No. There's no edit option once a request is submitted. To change one, cancel it and create a new one - remember that cancelling can't be undone.

Why is a request already approved without anyone reviewing it?

If the time off rule is set to approve requests automatically, new requests are approved the moment they're submitted. Otherwise they stay Pending until an approver reviews them.

Do weekends and public holidays count in the duration?

Only working days come off the balance. Which days count as working days depends on the time off rule’s Deduction mode (for example, Monday to Friday skips weekends, and Based on work schedule counts only the employee’s scheduled days). Public holidays switched on in the holiday calendar of the employee’s location aren’t counted either.

Can I create a request for anyone in the company?

You can create requests for the people you manage. Administrators can create requests for anyone; a request you add still follows the approval flow unless the time approves automatically.
